Terms and Conditions

Effective Date: September 1, 2025
Last Updated: September 1, 2025
Contact: sales@reptilewholesalers.com

These Terms & Conditions (“Terms”) govern your use of reptilewholesalers.com (the “Site”) and any wholesale purchase of live reptiles (the “Animals”) from Reptile Wholesalers (“we,” “us,” “our”). By creating an account, placing an order, or paying an invoice, you (“Buyer”) agree to these Terms.

Note: This document is business policy, not legal advice. Wildlife and import laws vary. Please consult counsel for your lanes and jurisdictions.

1) Wholesale Eligibility & Accounts

  • Sales are business-to-business only (pet stores, distributors, expo resellers, licensed importers/exporters, zoos, educational institutions). No consumer sales; 18+ only.

  • We may require verification that you are a reseller. Orders can be cancelled if verification isn’t supplied or cannot be confirmed.

  • You’re responsible for safeguarding your login and account activity.

2) Orders, Acceptance & Substitutions

  • Quotes, carts, and invoices are offers; acceptance occurs only upon our written confirmation and/or transfer to the carrier.

  • Species, size, sex, and morph are best efforts unless guaranteed in writing.

  • If a line item becomes unavailable, we may issue a credit/refund for that item or, with your consent, substitute comparable Animals.

3) Pricing, Payment & Fees

  • Wholesale prices may change until order confirmation.

  • Accepted payment methods are those shown at checkout or on the invoice (e.g., card, wire/ACH).

  • Invoices show due dates; late balances may accrue interest at the maximum lawful rate and reasonable collection costs.

  • Chargebacks on live-animal shipments are not permitted except in cases of fraud; use the claims process in Section 8.

4) Taxes, Duties & Permits

  • Buyer is responsible for applicable taxes unless an exemption is on file prior to invoicing.

  • For cross-border moves, Buyer is importer of record and responsible for duties, brokerage, inspections, and destination compliance.

  • Where required, permits (e.g., CITES, state wildlife permits, health certificates) must be in place before shipping and have a fee. We can assist with paperwork; compliance remains Buyer’s responsibility.

5) Shipping Schedule, Weather Holds & Risk of Loss

  • We typically ship on Tuesdays or Wednesdays only (excluding carrier holidays or embargoes); schedule varies by federal holidays.

  • We may delay, split, or route Hold-for-Pickup due to weather, embargoes, or animal welfare.

  • Risk of loss transfers to Buyer upon first delivery attempt, hub pickup availability, or pickup by Buyer’s agent—subject to our limited Live Arrival Guarantee in Section 7.

6) Delivery Windows & Pickup

  • Buyer must be present for first delivery attempt or must collect the package from the carrier hub within 2–4 hours of availability (we default to 4 hours unless your invoice states 2 hours).

  • Missed attempts, late hub pickups, forwarding, or packages left unattended may void coverage.

7) Live Arrival Guarantee (Temperature & Routing)

We guarantee live arrival when all conditions below are met:

  • Routing: Use our recommended service (home delivery vs. Hold-for-Pickup).

  • Temperature bands:

    • To-door service is supported only within a moderate temperature window.

    • Hold-for-Pickup may be required when temperatures are broader or species are sensitive.

We will specify the applicable bands and routing on your invoice or pre-ship email. If Buyer requests routing contrary to our guidance, coverage may be limited to DOA only..

8) DOA & Problem Claims (Live Arrival Only)

If any Animals arrive dead on arrival (DOA) or with obvious shipping injury:

  • Email us immediately at sales@reptilewholesalers.com and no later than 2 hours after delivery or hub pickup (earlier cutoff on invoice controls).

  • Include your order number, species/quantity affected, and:

    • Time-stamped unboxing video showing the unopened box, packing, and Animals; and

    • Clear photos (including the shipping label).

  • Keep all Animals and packing until we confirm next steps.

Remedy: If your claim is approved, we will, at our option:

  • Replace affected Animals on a future shipment, or

  • Issue store credit for the Animals’ purchase price (shipping/fees non-refundable).

Exclusions: Missed first attempt, late hub pickup, forwarding, incorrect address, packages left outdoors, temperatures outside specified bands, or routing chosen against our guidance.

9) Returns, Refunds & Cancellations

  • No returns of live Animals for biosecurity and welfare reasons.

  • Cancellations before shipping: generally eligible for store credit; if a cash refund is approved, a 15% cancellation/refund fee may apply.

  • Once shipped, orders are final. Cash refunds are not offered except where required by law.

10) Health, Acclimation & Husbandry

  • Animals are shipped in good faith as healthy to the best of our knowledge.

  • Buyer must quarantine new arrivals and use proper husbandry. We aren’t responsible for outcomes after successful arrival, including co-mingling with existing stock or husbandry errors.

  • We don’t guarantee temperament, breeding performance, or future growth.

11) Species Legality & Destination Restrictions

  • Buyer must confirm species legality at destination before ordering.

  • We may refuse shipment where species are restricted or permits are lacking.

  • Buyer agrees not to release Animals into the wild and to comply with invasive-species rules.

12) Site Use & Intellectual Property

  • Site content (text, images, logos) is our property or licensed to us; you may not copy or reuse without permission.

  • You may not scrape, bypass security, or harm our systems.

13) Warranties; Limitation of Liability

  • Except for the Live Arrival Guarantee above, the Site and Animals are provided “as is.” We disclaim all other warranties to the fullest extent permitted by law.

  • Our total liability for any order will not exceed the amount you paid for the specific Animals at issue.

  • We are not liable for indirect, incidental, special, consequential, or punitive damages (including lost profits or business interruption).

14) Indemnification

Buyer agrees to indemnify, defend, and hold harmless Reptile Wholesalers and affiliates from claims, losses, fines, or expenses arising from: (a) Buyer’s breach of these Terms; (b) violations of law/permits; or (c) handling, quarantine, husbandry, transport, or resale after delivery.

15) Force Majeure

We’re not liable for delays or failures due to events beyond our control (weather, carrier disruption, embargoes, government action, labor disputes, pandemics, supply shortages).

16) Dispute Resolution; Governing Law

  • These Terms are governed by the laws of [Your State/Country].

  • Good-faith negotiation: The parties will attempt to resolve disputes within 30 days after written notice.

  • If unresolved, disputes will be settled by binding arbitration in before a single arbitrator under Arbitration rules. Class actions are waived.
    .

17) Changes to Terms

We may update these Terms; the current version posted on the Site applies to orders placed after the update is published.

Return & Refund Policy — Live Reptiles

Effective Date: September 1, 2025
Contact: sales@reptilewholesalers.com

This policy applies to wholesale purchases of live reptiles from reptileimporters.com (“we,” “us,” “our”). Because we ship live animals, we do not accept returns of live animals under any circumstances. This approach reflects standard industry practice focused on biosecurity and animal welfare.

1) No Returns on Live Animals

  • For biosecurity and animal-welfare reasons, returns are not accepted for any live shipment. If there’s an issue, use the DOA/Problem procedure below.

2) Live Arrival Guarantee (DOA Only)

We guarantee live arrival when all conditions below are met:

  1. Delivery/Hub timing

    • Receive on the first delivery attempt, or pick up from the designated carrier hub within 2–4 hours of availability (we default to 4 hours unless your invoice specifies 2 hours).

  1. Temperature & routing

    • Home delivery guaranteed when origin & destination forecasts are 40–89°F.

    • Hold-for-Pickup guaranteed when forecasts are 32–99°F (we may require hub pickup for sensitive species or borderline temps).

  1. Correct address & receipt

    • A responsible adult must be present to receive; incorrect addresses, forwarding, or missed delivery void coverage.

  1. Carrier limitations

    • We cannot guarantee against carrier delays or mishandling; coverage is limited to DOA under compliant conditions.

3) What’s Covered

  • DOA (Dead on Arrival) at first attempt or at hub pickup (within the time window).

  • Severe shipping injury identified at unboxing (we may ask for vet confirmation).

4) What’s Not Covered

  • Missed first attempt, late hub pickup, forwarding to a new address, packages left outdoors, or temperatures outside the guaranteed ranges.

  • Carrier delays/embargoes, weather holds declined by Buyer, or routing you insisted on against our advice.

  • Post-arrival husbandry, quarantine or co-mingling issues after a successful arrival.

  • Sex/size requests are best efforts only unless guaranteed in writing.

5) How to File a DOA/Problem Claim

Email sales@reptileimporters.com immediately and no later than 2 hours after delivery or hub pickup (use the earlier time if your invoice specifies 2 hours). Include:

  • Order number, species/qty affected.

  • Time-stamped unboxing video clearly showing the unopened box, packing materials, and animals.

  • Clear photos of the animals and the shipping label.

  • Keep all animals/packaging until we confirm next steps.

6) Remedies

If your valid DOA claim is approved, we will, at our option:

  • Replace the affected animals on a future shipment or

  • Issue store credit for the animals’ purchase price (shipping/fees are non-refundable).
Cash refunds are not offered except where required by law. If a refund is expressly approved, a 15% cancellation/refund fee may apply.

7) Cancellations & Changes (Pre-Shipment Only)

  • You may request cancellation or changes before we generate labels/permits.

  • Approved cancellations are typically store credit; if a cash refund is authorized, a 15% fee may apply for processing and administrative costs.

8) Non-Live Items (Supplies)

  • Unopened, non-live supplies may be returnable within 14 days with an RMA; shipping both ways is Buyer’s responsibility. (Applies only if we list supplies.)

9) Species Legality & Compliance

  • Buyer is responsible for destination legality, permits (e.g., CITES/state), taxes/duties, and timely pickup.

10) Policy Updates

We may update this policy; the version on our site at the time of order controls.
